All Hours allows exporting data to a CSV file, which is prepared for direct import into the accounting software used for payroll preparation.
The export file needs to be customized according to the requirements of your accounting software, after which it can be exported from All Hours and imported into the payroll software with just a few clicks.
Setting up the Payroll List Format
To customize the payroll export, follow these steps:
1. Go to Settings > Payroll List
1. Type of Export
• Default (suitable for most exports)
• Grad ERP (specific for a particular export)
2. User ID in Payroll Export
• User Number
• Custom Field 1, 2, 3, 4…
a) Employees in payroll software are usually tracked under specific codes or IDs. These user codes must match between systems.
You can enter a user ID in All Hours by clicking on the user and entering their ID number under the General tab.
b) The user ID can also be stored in additional custom fields if the number is used for another purpose.
3. Format
There are two different formats available. In both cases, one user is displayed.
• Show counter per line
• Show user per row
4. Separator Selection
Two types of separators are available:
• Comma ( , )
• Semicolon ( ; )
The choice depends on the requirements of the software where the file will be imported.
5. Payroll Data
Here, you define the different types of payments that will be included in the export. These are counters from All Hours that track elements such as attendance, leave, sick leave, overtime, etc.
Ensure that the payment type code matches the one in your payroll software. Add all the payment types you want to export from All Hours.
Example:
1. Enter the payment type code (e.g., 0596)
2. Select the counter that will populate this value (e.g., “Physical Presence”)
3. Save
6. Length of Values
Some payroll programs require values to have a fixed number of characters. For example:
• If the length is set to 3, then a value of 0 will be displayed as 000, a value of 1 as 001, and a value of 555 as 555.
Note: The length setting does not affect the number of decimal places. All Hours always exports two decimal places when decimals are selected.
7. Export Duration As
You can export values in different formats:
• Decimal format with a dot or comma
• Without minutes
• Hours and minutes in HH:MM format
• Total value in minutes
8. Export Days As
Counters that track occurrences (e.g., attendance days) do not have values in hours and minutes but rather whole numbers.
You can adjust the setting so that these values are exported in a decimal format to match the chosen time format.
✅ Once everything is set up, click Save.
Downloading the Payroll List
To view the report:
1. Go to Reports > Payroll List Export in All Hours
2. Click View in the upper right corner to open the report preview
The table displays values for each payment type configured in previous steps.
It includes IDs and names (though names will not appear in the downloaded CSV file).
To download the file, click Download in the upper right corner.
