Importing Annual Vacation Quota

The imported vacation quota is added to the current balance, providing an easy and efficient way to update the data

Description of the process for importing a vacation quota file for the current year.

1. Go to the “Users” tab:

  • In the application, find the “Users” tab.

2. Select the vacation import action:

  • On the top-right, click the arrow next to the “+Add User” button.

3. Choose the “Import Vacation (CSV)” option:

  • When adding a new vacation quota, select the “Import Vacation (CSV)” option.

4. Download the import template:

  • Download the template for importing the data in CSV format.

5. Fill out the template:

  • Complete the template with new vacation quota data for employees, including identification details and the number of vacation days.

6. Check the data:

  • After opening the filled-out file, check if the data is correctly entered.

7. Settings for updating:

  • Check if the option “Update previously imported vacation quota if it already exists?” is enabled or disabled, depending on the desired outcome.

    Enabled – This means that if there is already a correction for that date, it will be overwritten or replaced.

    Disabled – This means a new correction will be added, even if one already exists (e.g., if there is already a vacation entry of 10 days for that date, another 21 days will be added).

8. Save and perform the import:

  • After checking the data and settings, click the import button. If a correction was previously entered for the selected day, the imported value will appropriately update the existing balance.

Example:

Assume you are entering 21 vacation days. If on January 1, 2024, there is already a correction of 10 days, and the option is enabled, the 10-day correction will be replaced, resulting in a balance of 21 days on January 1, 2024. If the option is disabled, the 21 days will be added to the existing 10 days, resulting in a total of 31 days of vacation on January 1, 2024.
