All Hours start guide for employees

Learn how to use the All Hours web app.

Welcome to the All Hours web app!

The instructions below will guide you through the basic functionality of the All Hours app. If your account does not offer certain features, talk to your administrator.

1. Joining your company account

For your first login in All Hours, the administrator must add you to your company account and send you an email so you can set up your password via a link in the message. Once you've managed to set a password login via https://login.spica.com/Account/Login.

* If the link has expired before you have managed to set your password, ask your administrator to resend it to you.

* Please, do not sign up on your own (without the invitation email) because this will create a new account, which will not be connected to your company.

2. Clocking working time and absences

When you enter the application, you will be taken to the Home view, where you will find the clocking buttons.

WEB REGISTRATION

Clicking on any of the buttons immediately records a real-time event according to time in the top right corner above the buttons. This type of clocking is called "Online Registration". A working day must be started by selecting a button and ended by selecting a button.

FORGOTTEN REGISTRATION

You can also enter clockings at a later date and time. This can be done by clicking on the Add clocking on the home page.

Clicking on the button Add clocking will open a window in which you can select the event you want to enter and the entry time and date. You can also add comment if you wish to, for example: I forgot to clock in in the morning, please approve my clocking.

The same applies to Add absence button (sick leave, annual leave, business trip, maternity leave, etc.). In this window on the homepage, you can also check the status of your remaining days of annual leave.

All manually entered clockings (via the Add clocking/Add absence buttons) are sent to the administrator for approval. Until the administrator confirms or rejects the entered event or absence it is in pending status and is not yet recorded in the data.

The administrator will have an Approvals view in which all requests are collected. At the same time, they can also see the comment that you can write when submitting the request.

3. Timelines

Click on Timelines > My day to check the details of individual days. If you click on the arrow near recorded clocking and absences you will be presented with even more details or entered events. Here are also the buttons to add clockings and add absence which is the same as on the homepage. Daily balance (plus or minus hours worked during this specific day) and running balance (accumulated overtime from the whole calculation period) on the specific date are seen in the right upper corner.

There is also a monthly overview if you go to Timelines > My time. The statistics record how many hours you have to work in the month (plan) and in addition how many hours you have had paid attendance (clockings) and how many hours you have had paid absence (absences).

On the right-hand side, there are counters for the daily balance against the plan (overtime worked on a given day) and the running balance into which minus or plus hours are transferred.

4. Calendars

A yearly overview is available in the Calendars view in a form of icons. By clicking in the top left as "Prevalent category" you can change the filter of what should be shown. Clicking on a specific day takes you to a detailed view of the day.
