Employees can use last year's vacation until the date set as the last year vacation limit in their calendar. On 1 January, the remaining vacation is moved to the last year's vacation counter, which is cut to zero on 1 July by default. You can change the cut-off date in the calendar assigned to your employees.
💡 You can see which calendar is assigned to each employee in the user list, in the Calendar column.
Where the limit is set
Go to Settings (1) > Calendar Groups (2) and select the calendar assigned to your employees.
The calendar shows holidays and other limits. The Last year vacation limit row sets the date on which last year's vacation is cut automatically.
Changing the cut-off date
In the example below, the cut-off date is moved from 1 July to 1 September from 2027 onwards.
1. Limit the validity of the existing limit: in the calendar, select the last year in which the existing limit should still apply (1) and click the Last year vacation limit row (2).
2. In the Valid to field, select the last day of that year (e.g. 31/12/2026) and click Save. The existing limit will no longer apply in the following years.
3. Add the new limit: click Edit (1) and select Add new calendar event (2).
4. Enter a name (e.g. Last year vacation limit), select the new cut-off date (e.g. 01/09/2027) and the type Last year vacation limit. Under Recurring, select:
Yearly if the new limit should also apply in the following years. Leave the Valid to field empty.
the non-recurring option if the limit should apply only in the selected year. In this case, set the limit for each following year as well.
Click Save.
Checking the setting
Go to Timelines > One day detailed and select an employee who has last year's vacation. Select the last day on which last year's vacation is still valid and then move to the next day. The calculation details show whether last year's vacation was cut to zero.
Different limits for individuals or groups
If you want last year's vacation to be cut on a different date for some employees, create a separate calendar group with a different limit and assign it to them.
