The All Hours mobile app lets you record your working time, review your hours and submit absence requests directly from your phone. Managers and administrators can also approve employee requests in the app.
Note: The available features, event types and absence types are defined by your company administrator. If you cannot see an option described here, it is not enabled for your account or you do not have the required permissions.
Installation
Search for Spica All Hours (publisher Spica International d.o.o.) in your app store and install it:
First sign-in
Before you sign in for the first time, your administrator must add you to the company account and send you an invitation by email.
Click the link in the invitation email and set your password.
Open the app and enter your email address (E-mail) and password (Password).
Tap Sign in.
If your company uses Microsoft sign-in, tap Sign in with Microsoft.
Important: Do not create a new account yourself. An account created without an invitation is not linked to your company, and you will not see your data in it.
If the invitation link has expired, ask your administrator to resend the invitation.
If you cannot find the invitation, check your spam folder.
Use the same email address and password to sign in to the web app at pro.allhours.com.
Forgotten password
On the sign-in screen, select Forgot password?.
Enter your email address and confirm that the instructions should be sent.
Click the link in the email you receive and enter a new password.
The new password applies to both the mobile and the web app.
Clocking events
After you sign in, the Home screen opens. To record an event, tap the corresponding button, for example Arrival, Departure or Break. The event is recorded with the current time.
The most recent event is shown under You are clocked in, so you can check that the clocking was successful.
The clocking point is shown above the buttons, if one is set up.
More opens additional event types, for example Business departure or Work from home.
The running balance and daily balance are shown at the top of the screen.
Profile and reminders
To open your profile, tap the circle with your initials in the top-left corner. In your profile, you can set clocking reminders:
Location reminder – you receive a notification when you arrive at or leave the company location. It works if your company has clocking points set up and location access is enabled on your phone.
Time reminder – you receive a notification at selected times and on selected days, for example at the start and end of your working day.

Timelines
The Timelines section shows the running balance and daily balance for each day. The Schedule tab shows your work schedule.
Tap a day to open Daily details, which shows the clockings, absences and adjustments for that day. To delete an event, tap it and select Delete. If this option is not available, you do not have permission to delete events.
Adding a missed event
If you forgot to clock an event:
In the day details, tap the + button in the bottom-right corner.
Select the type of event or absence. Select More to show all types.
Enter the date and time and, if needed, a comment.
Confirm the entry with Add.
If you have permission for direct entry, the event is recorded immediately. Otherwise, the request is forwarded to your supervisor for approval, and you can track its status in your timeline.
Tip: In the More list, mark the events you use most often with a star. They will then appear directly in the Add menu.
Absences
The Absences section shows the number of vacation days available and a list of your submitted requests with their status: Approved, Pending or Rejected.
Submitting an absence request
Tap the + button in the top-right corner.
Select the absence type, for example annual leave or sick leave.
Select a date or period and add a comment if needed.
Confirm the request with Add.
The request is forwarded to your supervisor for approval, and you will be notified of the decision. An absence that has already been approved can only be changed or deleted by your supervisor or administrator.
Presence
The Presence section shows the current status of your colleagues, for example present, absent, in the field or working from home. You can search for colleagues by name or filter the list. Which colleagues you can see depends on the permissions set in your company.
Approving requests
Managers and administrators have an additional Admin section in the bottom menu. Employee requests are organised in the Pending, Approved and Rejected tabs, and the list can be filtered by type and period. Tap a request to open it, then approve or reject it.
Bulk processing: tap the circle in front of a name, select several requests or Select all, then approve them with Approve or reject them with Reject.
Employee data: tap the blue user icon in the top-right corner and select an employee from the User List. The employee’s timeline opens.
Day details: tap a day in the employee’s timeline to view the clockings, absences and adjustments for that day.

Frequently asked questions
Why can’t I see a button for a certain event or absence type?
The available event and absence types are defined by your company administrator. Events you use frequently can be added to your favourites in the More list.
What do the running balance and daily balance mean?
The daily balance is the difference between the hours worked and the planned hours for a given day. The running balance is the sum of the daily balances over the period.
My clocking was not recorded. What should I do?
A clocking is complete when the app shows a confirmation. If no confirmation appears, check your internet connection and try again.
Why is my added event not included in the calculation?
It is most likely still awaiting approval. Check its status in your timeline.
Can I view my data on a computer?
Yes. Sign in to the web app at pro.allhours.com with the same email address and password.
