How to configure the Last year vacation balance counter?

Setting up the counter that tracks the remaining vacation from last year.

Written by Marko Klopčič

The Last year vacation balance counter shows how many days of last year's vacation an employee still has. Each day of annual leave reduces the balance by 1, and unused days from last year are reset to 0 when the deadline for using them is reached.

Note: This counter is part of the default configuration and is available as soon as a new account is created. The procedure below describes its settings.

1. Calendar events

In Settings > Calendar Groups, open the calendar group and add two calendar events with yearly recurrence:

  • Vacation transfer – on the date vacation is transferred to the new year (e.g. 1 January);

  • Last year vacation limit – on the date last year's vacation expires (e.g. 30 June).

Note: If you do not see this view, ask your account administrator for the appropriate permissions.

2. Counter settings

In Settings > Global Time Rules, open the Accruals tab and click Add new accrual.

Enter the counter name and click Save.

Then click Edit to set the calculation parameters.

3. Data source

In the Sources section, add the following source:

  • Select the source Absence, the name Annual leave and the method Subtract.

4. Action events

In the Action Events section, add three rules.

Rule 1 – reset at expiry. When the deadline for using last year's vacation is reached, unused days are reset to 0:

  • Execution point: Calendar event type;

  • Calendar event type: Last year vacation limit;

  • Use yesterday value: Disabled;

  • Action: Cut if greater;

  • Value type: Value;

  • Value: 0;

  • Track result: Last year vacation cut.

Rule 2 – prevent a negative balance. Once last year's vacation has been used up, the source keeps subtracting days; this rule returns the balance to 0 every day:

  • Execution point: Every day;

  • Use yesterday value: Disabled;

  • Action: Add if lower;

  • Value type: Value;

  • Value: 0;

  • Track result: leave empty.

Rule 3 – vacation transfer. On the transfer date, the remaining vacation from the previous year is carried over to the counter:

  • Execution point: Calendar event type;

  • Calendar event type: Vacation transfer;

  • Use yesterday value: Disabled;

  • Action: Add if lower;

  • Value type: Calculation result value;

  • Get value from: Vacation Balance;

  • Track result: leave empty.

5. Saving the settings

Click Save, select the date from which the settings apply in the Period selection dialog, and confirm with Save.
