Locking a user’s calculations

Locking employee records allows you to freeze past time and attendance data for individual employees. Once a period is locked, no one can enter or edit records before the specified date

What does the lock prevent?

When a period is locked, the following applies to all dates before the lock date:

  • attendance records (clockings, absences, adjustments) cannot be added, edited, or deleted,

  • request statuses cannot be changed,

  • changes to calculation rules do not affect the locked period.

In the Employee Day view, a notice is displayed for locked periods:

You cannot add events or change the time policy before "selected date".

How to set the lock for a user

  1. Open Users.

  2. In the user list, select the user for whom you want to restrict calculation changes.

  3. Open the Time & Attendance tab.

  4. Find the Calculation changes possible from field.

  5. Enter or select the date from which changes will still be allowed.

  6. Click Save.

You can also lock the period for multiple users at once via Actions in the Users list view.


Permissions for locking and unlocking

For an administrator to lock or unlock employee records, the following permissions must be enabled in their Authorization Role:

  • Lock employee calculations – allows setting the lock date,

  • Unlock employee calculations – allows moving the lock date back or removing it entirely.

These permissions are found under Users → Authorization Roles.


Unlocking a period

To unlock a period, update the lock date on the user's profile. If the new date is set before the currently locked period, the period will be unlocked.


Frequently Asked Questions

Can the lock be reversed? Yes, an administrator with the appropriate permission can move the lock date or remove it entirely.

Does the lock apply to all employees at once? No, the lock date is set individually for each employee.

When is it recommended to use the lock? The lock is recommended after closing a payroll period (e.g. end of month or year), once records have been verified and confirmed and should no longer be accidentally modified.
